Looking for an individual who is highly organized, detail-oriented and able to juggle multiple tasks at once. Overseeing the creation of large or complex projects—projects that may require input from many different departments or individuals within an organization. A good communicator who can effectively convey their vision to others in order to ensure that all aspects of a project come together as intended.

• Developing and implementing new programs based on current trends in the industry

• Managing the implementation of new projects or campaigns designed to increase brand awareness or customer loyalty

• Overseeing the creation of strategic plans for the organization based on current needs

• Creating presentations on behalf of the company to potential donors or clients

• Devising new methods of communication to reach target audiences

• Developing long-term strategies for organizational growth that align with company goals

• Coordinating with vendors to ensure that events run smoothly

• Providing executive leadership to the organization’s special events department.

• Able to communicate with a variety of people, including other directors, managers, employees and clients.

Key Responsibilities

• Completes a broad variety of administrative tasks for the President including managing an extremely active calendar of appointments, arranging complex and detailed travel plans, itineraries, and agendas as well as compiling documents for travel-related meetings.

• Plans, coordinates and ensures the President’s schedule is followed and respected. Acts as "gatekeeper" and "gateway" in facilitating direct access to the President’s time and office

• Provides a bridge for smooth communication between the President's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff

• Drafts and reviews correspondence for accuracy and grammar as well as editing various documents including internal/external correspondences, including documents of a sensitive or confidential nature.

• Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature, and determines appropriate course of action, referral, or response.

• Works closely and effectively with the President to keep her well informed of upcoming commitments and responsibilities, following up appropriately.

• Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the President updated

• Researches and prepares materials, briefings, talking points, speech drafts or presentations and proposals on a variety of subject matters for key internal or external audiences

• Participates in meetings, taskforces and workgroups both internally and externally on behalf of the President as assigned.

• Prioritizes conflicting needs; handles assignments expeditiously, proactively, and follows- through on projects to successful completion, often with deadline pressures

• Performs other tasks and duties as assigned by the President

Requirements

• Master/Bachelor’s degree in Business Administration, Legal, Communication, Liberal Arts, Science, or equivalent qualifications with minimum of 10 years of relevant working experience in administration, secretarial, project management or special assistant to CEO/President/Chairman

• Solid background of experience and an impressive track record of innovation and attainment of goals in complex organizations, especially in a global enterprise environment and matrix organizations.

• Experience in organisational function, research, analysis and planning within a dynamic and challenging environment, working inclusively through people in a multi-cultural environment to achieve shared objectives.
